The Governors Highway Association (GHSA) is seeking a full-time Meetings & Events Manager. This individual will play an integral role in delivering the highest-caliber experience for GHSA members and other constituents by planning, implementing and managing logistics associated with GHSA meetings and events. This individual will also handle management of logistics related to the Association’s meeting- and event-related contract deliverables and occasionally assist the CEO with special projects as well as speaking engagements for the senior staff. Duties include: · Manage logistics for GHSA’s meetings and events to ensure their successful execution including the Annual Meeting, the Executive and Emerging Leaders Seminars, quarterly Board meetings, and staff and Board event. Tasks include, but are not limited to: o Work with the CFO to develop and monitor meeting and event budgets. o Lead the venue selection process by submitting research-based proposals for consideration. Manage contract negotiations for venues and related services including food, beverages, A/V, and all other related services. o Develop relationships with vendors and execute all vendor management. o Determine value and ROI for exhibitors and sponsors at the Annual Meeting. o Oversee onsite logistics including establishing event schedules, arrangements for staging including setup, AV equipment and technical support, materials shipping, and registration. o Serve as the logistics point of contact for workshop speakers and ensure all requirements are met for their engagement. o Support internal staff on educational programming development and execution. o Collaborate with GHSA’s internal staff lead to develop and disseminate event information. o Track and analyze data to provide analysis reports post events. · Manage logistics for GHSA Consulting Services Initiative contracts that include conference and meeting-related deliverables. · Remain current on best practices and current trends in meeting and event planning. · Work with the CEO on special projects. · Work with the Senior Director of External Engagement on travel budgets and requirements for Consulting Services Initiative proposals and contracts. · Assist with managing speaking engagements for the senior staff and CEO utilizing contacts and vendor networks for travel. · Assist the Director of Member Education with the development and maintenance of a speaker database. · Other duties as assigned aligned with the objectives of GHSA.
Ideal candidates will have a bachelor’s degree and 5+ years of progressive experience in meeting and event management. Experience working in a nonprofit or an association is desirable. The position requires up to 15% travel. GHSA represents the state and territorial highway safety offices that implement programs to address behavioral and highway safety issues, including occupant protection, impaired driving and speeding. GHSA provides leadership and advocacy for the States and Territories to improve traffic safety, influence national policy, enhance program management, and promote best practices.
